Leads

The sales funnel for artworks.

Every enquiry becomes a lead that moves from New to In contact, Offer, Hold and Sale, with someone assigned and a follow-up date — and Opportunities shows whom to contact next.

Board and list

Every enquiry, and where it stands.

See your leads as a board, one column per stage, a list with a tab per stage and filters, or a calendar of follow-ups. Each work shows where it stands, and each column adds up what its leads are worth.

Leads opens on your own leads, with everyone’s one click away. Standing interest waits under Long-term, off the board, until it turns into a conversation.

The address book behind it: Contacts
Opportunities

Whom to contact next.

For every show opening in the next 90 days, Opportunities lists the people to tell — those who bought, held, asked about, own or looked at the artist’s works — each with a tier, the reasons and their year, and whose contact they are.

For the opening dinner, a show’s dinner list narrows its people to those with an address within the distance of the venue you choose and shows how each one’s earlier invitations went — invited, came, didn’t come. Tick the guests, and the dinner invitation is ready to send, its address shown only to those who accept. Accepting and attending count as interest for the next show. The dinner list in detail

An available work’s page has Opportunities of its own: the people with a reason to want it — they bought or asked about the artist, own a work by them, or saw the artist in a presentation — strongest first. Make a lead in one click, or mark someone not relevant for this work or for the artist altogether.

Stay in touch lists clients you have not spoken to for longer than their rhythm; other lists match new works to buyers, artists to a client, institutions to an artist, and find leads that have gone quiet. Make a lead, log a contact, check back in a few months or mark a proposal not relevant — the ranking learns from your team’s answers.

It weighs your own records, not an AI model: nothing is sent by itself, nothing leaves your account, and everyone sees only the reasons they are allowed to see.

Goals

Track your sales leads, and any other goal you are working on.

A lead can aim at an exhibition, a press feature, a gallery representation, a loan, an application or an acquisition as well as a sale, each with its steps in its own words — Proposed, Shortlisted, Confirmed for an exhibition.

Sale, Exhibition and Press are on from the start; switch on the others, or add goals of your own, in Settings › Leads.

From lead to sale

The offer is already filled in.

Choose Create on a lead and the sale form you know opens filled in — with the contact, the works, the seller and the confidential flag. Nothing is reserved or sold until you save, and saving links the offer, hold or sale to the lead.

A lead is not a second sales record: its Offer, Hold and Sale stages follow the record it is linked to in Sales. Every lead keeps a timeline of who did what and when, an importance of one to five stars and, if it goes nowhere, the reason it was lost.

Where leads come from

Every way an enquiry arrives

A lead can start anywhere a conversation starts, and each one records where it came from.
  1. Leads

    By hand

Choose New lead on the Leads page, a contact, a work, an exhibition, a presentation or the works in your basket.

  2. Email

    From an email

Make a lead from a contact’s message, with the contact and subject filled in. Your reply from WrkLst moves it to In contact.

  3. Email

    A mail with works

Send works by mail with Record as a lead on, and every recipient gets a lead of their own, tagged with the campaign.

  4. Websites

    Your website

An enquiry from your WrkLst website arrives as a New lead with the works it is about, and by email. It stays marked Unverified until someone checks the name and address, and WrkLst suggests who it might be among your contacts.

  5. Presentations

    From a presentation

A collector gathers works from your private link in an enquiry basket and sends one enquiry — one lead, with every work and the presentation on it. Purchase requests reserve nothing until you decide.

  6. Integrations

    Your AI assistant

Create and update leads from your own AI assistant, with exactly the permissions of your user role.

  7. Leads

    Follow-ups

Every lead has someone assigned and a follow-up date. New leads go to the colleague you name in Settings › Leads, or to the one whose name the contact carries as a tag. WrkLst reminds them on the day and puts follow-ups in your calendar.

  8. Dashboard

    Waiting for a reply

The Leads tile on your dashboard lists your open leads, overdue follow-ups first, and counts those waiting for a first reply or without movement.

  9. Contacts

    Waitlists

Add to waitlist puts a collector on the waitlist for the lead’s artists in one step, so standing interest is never lost.

A website whose enquiries arrive as leads
Confidential

Your collectors stay between you and your team.

Leads follow the roles you already have: for each role you decide whether its people see every lead or only their own, and a confidential lead is seen only by those allowed to — in the list, the reports, the notifications and every connection.

A lead never subscribes anyone to a newsletter. Leads without a contact that are lost or untouched are deleted after 24 months, with their history, and spam is deleted in one step without adding anyone to your contacts.
