Side by side
| Criterion | WrkLst | ARTBUTLER |
|---|---|---|
| How it is priced | By the size of your archive — works plus contacts. Every tier includes its users: four at €29* a month, up to thirty at €699*. Every software module, in every tier; a website from WrkLst is priced on top. | A base plan plus optional modules. The galleries page lists ARTBUTLER NEXT at 34 EUR a month with “100 works”, “3 main contacts” and “3 online showrooms”; the FAQ says “ab €19/Monat”. More works, unlimited contacts, more showrooms, more users, content languages and AR are add-ons, and the cost “is flexibly adjusted to the scope of use, the selected features, and the number of users”. The help site prices the Shopify connection and AR at 10 EUR a month each; the other add-ons’ prices are not published.1,2,3,15,31 |
| A three-person gallery with 500 records | €49* a month, five users included. | Not computable from the published figures: the base plan holds 100 works and 3 main contacts, and the prices of the works, contacts and additional-login modules are not published.1,3 |
| Works, editions and provenance | Editions and proofs, provenance, condition, insurance values, locations and confidential prices on every work; a PDF catalogue or spreadsheet is imported by AI. | Edition, provenance, condition, storage location and insurance values among the artwork data. Works can be imported from an Excel spreadsheet, with their images; an import from a PDF is not described.1,26,27 |
| Consignments | Incoming and outgoing consignments with loan forms, terms and expiry notices; a consigned work reads as unavailable everywhere in WrkLst. | The modules page, in its navigation for artists and studios, reads “Werke, Kommissionen und relevante Kontakte bündeln” — works, consignments and relevant contacts together — and the contacts help article lets holdings be marked as consigned stock (“Kommissionsware”) and a showroom serve as consignment documentation (“Kommissionsdokumentation”) for artists. The collections page lists loan agreements among the documents it creates (“rental agreements” in its English version, “Leihverträge” in the German). ARTBUTLER PRO records consignments with a status, start and end dates, a reminder of the end on its start page, custom fields for return deadlines or shares, and consignment contracts from templates.1,3,10,22,40,41 |
| CRM and sales funnel | Leads, included in every plan: every enquiry, interest and conversation becomes a lead that moves from New to In contact, Offer, Hold and Sale — or to Lost, with a reason — while standing interest waits under Long-term, off the board. A lead can also aim at an exhibition, a press feature or a goal of your own, each with its own steps, and every artwork on a lead has its own stage, so the works a client turned down are marked while the others go ahead. A board and a list, someone assigned and a follow-up date with reminders; Create on a lead opens the sale form filled in and links the offer, hold or sale back to it. Leads arrive by themselves from your website and presentation enquiries, start from your mail with one step, and come in through the direct connection and your own AI assistant; reports show the win rate by goal, channel and person, the leads per contact, where leads came from, why they were lost, and how quickly you reply and close. | Contacts with their roles and relationships, including who is interested in which works and who owns them; purchases and sales are documented, with contacts entered as owners. The ARTBUTLER NEXT base plan includes 3 main contacts, and unlimited contacts are an optional add-on module. A showroom can serve as an offer with enquiry and purchase options, a private enquiry from it arrives as an email, and a work bought through a showroom’s Shopify link is marked sold in NEXT automatically, with the sale information; ARTBUTLER websites receive enquiries from prospective buyers. ARTBUTLER PRO records offers with their recipient, works, discounts and an end date that its start-page calendar shows for follow-up, and up to two reminder dates per contact. Lead records, pipeline stages, assignment, and reports on win rate, lead sources or reply and close times are not described on ARTBUTLER’s pages or help sites; the statistics described are showroom views, favourites and enquiries, sales and inventory figures per artist and work type, and, in ARTBUTLER PRO, report templates such as sales and offers per customer.1,3,4,8,10,11,12,13,15,40,42,43 |
| Invoicing and bookkeeping | Invoices on your letterhead with payment links; invoice bookkeeping tuned to your country — GoBD, e-invoice and DATEV in Germany — tax assistance that suggests the VAT or US sales tax of every sale and watches the thresholds, economic nexus included; bank and payment gateway reconciliation; QuickBooks and Lexware sync. | “Invoices – created quickly” as PDFs and lists. ARTBUTLER PRO exports e-invoices (ZUGFeRD and XRechnung) as a paid option; a connection to accounting software is not described. Payments run through the optional Shopify module.1,3,15,36 |
| Exhibitions and shipments | Every show with its works, documents and installation views on one timeline; shipments with live tracking for FedEx, DHL and UPS, and the paperwork. | Exhibitions as core data; shipping documents in a few clicks; in ARTBUTLER PRO, a start-page calendar with exhibition and fair dates and reminders. Carrier tracking is not described.1,40 |
| Viewing rooms and presentations | Presentations are the viewing rooms: pages built from blocks in an editor connected to the archive, light or dark, with optional prices and availability, sent as a private link or a designed email; enquiries and requests to buy arrive as leads, View in Room and augmented reality are offered per work, and the works looked at most are counted — included in every tier. | Three online showrooms in the ARTBUTLER NEXT base plan, optionally password-protected; showrooms and VIP previews by password-protected link are listed among the extra modules, and unlimited showrooms, showroom portfolios as an offline app and an AR module are optional add-on modules at extra cost. Viewers can mark favourites and send a private enquiry, which arrives as an email, or — with the Shopify module — buy directly from the showroom; a showroom can be given an expiry date, and statistics show its total views, the most-viewed works, favourites and enquiries. Browser access on tablet and smartphone; no native inventory app is described.1,3,11,12,15 |
| Reports | A sales report per exhibition, production costs per show, collection values, the win rate, sources and reply times of your leads — and every list exports to Word, Excel, CSV and PDF. | Dashboard statistics on the inventory — revenue and values per artist, works available, reserved and sold by type — and showroom statistics on views, favourites and enquiries. ARTBUTLER PRO adds report templates, such as sales and offers per customer.12,13,43 |
| Users and permissions | Roles with separate permissions per module, invoices and payments behind doors of their own, and a change history on every record. | ARTBUTLER NEXT: team functions as an optional module — individually controllable user rights, additional logins and guest access — and two-factor sign-in with a one-time code by email. ARTBUTLER PRO: four standard roles and roles of your own, with as many logins as its licence allows.1,3,33,44 |
| Taking a card payment | Through your own Stripe or Shopify Payments account for the payment link on an invoice. WrkLst takes nothing; you pay the provider’s fees. | Through the optional Shopify module — “Shopify for direct payment and optional shop connection” — at 10 EUR a month plus VAT, with a separate Shopify account of your own; payment links can be sent to customers, and the invoice comes from Shopify, with additional apps, or is created manually. The websites page adds that online payments can be integrated.1,3,8,15 |
| Where your data lives | On Hetzner servers in Germany, with redundant infrastructure in Finland and Switzerland — on renewable electricity, by the providers’ own account. | “In accordance with European data protection standards.” The estates page says “Your data is stored on European servers with high security standards”; the privacy policy says data sent to ARTBUTLER is also hosted through third-party providers, possibly foreign ones. ARTBUTLER PRO stores data locally on your own machine or, with ARTBUTLER Remote Hosting, its database on ARTBUTLER’s servers in Germany.1,5,24,39 |
| Privacy and data ownership | The data you enter belongs to you, including full exportability: a complete copy of your database (SQL dump), as one file, at the push of a button. A German company as your processor, under a data processing agreement as the GDPR requires; stored in Europe only, in Germany, Finland and Switzerland; your images, prices and notes never used as training material, by us or by anyone else. | A German company under the GDPR, with a data processing agreement under Art. 28 GDPR: “Your data is secure – in accordance with European data protection standards.” Excel or CSV exports from an active account, as the help articles describe; under the terms, the raw data in machine-readable form for download from the customer account, and for 30 days after the contract ends.1,7,9,19,20 |
| Working offline | The iPhone, iPad and Android apps work offline; the web interface needs a connection. | ARTBUTLER PRO is a local installation and works without the internet; the showroom portfolios can be stored as an offline app.1,3 |
| AI | Data entry by AI: a PDF, spreadsheet, scan, link or pasted work details become records, reviewed before saving; your own AI assistant works with your permissions. Optional, only in features that say so, switchable for the whole workspace; the import’s model runs in Switzerland. | No AI feature is described.1 |
| Leaving | Your complete database as one file (SQL dump), generated at the push of a button in your own settings and delivered to you automatically — alongside Word, Excel, CSV and PDF exports. | Excel or CSV exports from an active NEXT account. The terms provide the raw data for download in machine-readable form from the customer account, and for 30 days after the contract ends; the help article says the data is deleted four weeks after the subscription ends. A website booked through NEXT is taken offline when the subscription ends. ARTBUTLER PRO backs up its whole database as one file.9,18,19,20,46 |
| Who owns the company | WL Artworld Solutions GmbH, Berlin — independent, founder-run, no outside investors. | teamspring GmbH, Berlin — founded more than twenty years ago and run by its founder.6,7 |
| What it connects to | Google Workspace, Microsoft 365, IMAP; QuickBooks Online, Lexware Office, a DATEV export; Mailchimp, MailerLite; Stripe, Shopify; German bank accounts online over FinTS, bank statements as camt, MT940, OFX, QIF, CSV or Excel files, your PayPal activity, and US bank accounts through your own Stripe account; a WordPress plugin; a direct connection for developers and a link for AI assistants. | Shopify, at 10 EUR a month plus VAT; Rapidmail or Mailchimp for distribution lists, one mailing service per account; Mailchimp forms and analytics tools such as Matomo on ARTBUTLER websites. ARTBUTLER PRO opens mails from its templates in your own mail program, exports contacts to iCloud for iPhone, iPad and Mac, and exports works for Artsy. A connection to accounting software and a direct connection for developers are not described on ARTBUTLER’s pages or help sites.1,4,8,14,15,37,38,47 |
| Your website |
| ARTBUTLER builds it on WordPress with Elementor, connected to ARTBUTLER NEXT: three template designs — Art Vista, Art Hub and Art Portico — for €2,900 net one-time plus a NEXT account, or a bespoke site priced by actual costs. Multilingual content, Shopify, advanced search and other add-on modules are priced on request; showrooms can be embedded or linked, with enquiries, and forms connect to Mailchimp. Changes in NEXT to data already on the site reach it automatically, in up to a minute. Accessibility: “Contemporary & accessible design” on the English websites page, with no standard named. The server location of the website is not described on the websites pages, which name fast loading times, caching and a CDN connection under Performance & Hosting. When the NEXT subscription the site is booked through ends, the site is taken offline and its data, including a customised design, deleted after four weeks.1,4,8,16,17,18 |
| Languages | Sixteen interface languages: English, German, French, Spanish, Italian, Dutch, Polish, Portuguese, Russian, Ukrainian, Arabic (right to left), Hindi, Japanese, Korean, Chinese (simplified) and Chinese (traditional). | ARTBUTLER NEXT: English or German as the interface language; a multilingual module for content, PDFs, showrooms and websites.3,21 |
| The trial | 14 days, card details required, cancel any time before it ends. | 14 days, according to the Shopify help article; “free of charge and without obligation”.1,15 |
| Support | The people who built it — by chat inside WrkLst, by mail and by phone, from Berlin — a knowledge base at support.wrklst.art, and the WrkLst Specialists: an independent network of archivists, art advisors and studio managers who set WrkLst up with you. | Phone and email from Berlin, one-hour personal online sessions, step-by-step guides; premium phone and remote support with a service contract.1,2 |

Where ARTBUTLER is the stronger choice.
- A local installation
- ARTBUTLER PRO runs on your own machine without the internet. WrkLst is cloud software; only its apps work offline.
- Twenty years in the German-speaking market
- Founded more than twenty years ago in Berlin, with hundreds of customers in galleries, studios, collections, estates and institutions.
- Designs you edit in WordPress
- Art Vista, Art Hub and Art Portico, at €2,900 net one-time plus the NEXT account — and layouts, colour schemes and visual settings you edit yourself in WordPress with Elementor. Website Complete offers four themes, set up with your brand, and a monthly fee; a theme of your own is available on request, and a design on another system is a bespoke site, or one your developer builds with Website Data.
- Website changes without a publish step
- A change in ARTBUTLER NEXT to data already shown on the website reaches the ARTBUTLER website automatically, in up to a minute. On a WrkLst website a work’s price, availability and details follow by themselves within minutes; other changes go online when you publish, by hand or every hour or every night.
- Favourites in a showroom
- An ARTBUTLER showroom shows its total views, the most-viewed works, favourites and enquiries. A WrkLst presentation shows its visits, the works looked at most and the documents downloaded; it has no favourites.
- An Artsy export
- ARTBUTLER PRO exports works and their images for Artsy’s bulk import, and a work category keeps track of which works are on Artsy. WrkLst has no Artsy export.
Where WrkLst is the better product.
- Native inventory apps for iPhone, iPad and Android that work offline, where ARTBUTLER NEXT runs in the browser and only showroom portfolios install as an offline app; presentations and viewing rooms included in every tier, where the ARTBUTLER NEXT base plan includes three showrooms and sells unlimited showrooms as a module; and shipments with carrier tracking, which the ARTBUTLER pages do not describe.
- Every software module and every user in every tier — no add-on modules and no per-seat prices; a website is optional, at published prices (Website Complete or Website Data), or bespoke on request.
- A sales funnel included in every plan: an enquiry from your website or a presentation becomes a lead by itself, and one from your mail with one step — a lead you can assign, give a follow-up date and turn into an offer, hold or sale with the form already filled in — with reports on the win rate, sources and reply times. The ARTBUTLER pages describe interests on contacts, showroom enquiries by email, website enquiry forms and, in ARTBUTLER PRO, offers with an end date and follow-up reminders; a funnel with stages is not described.
- A website built from your records at a published price, with View in Room and augmented reality included: Website Complete, at €1,900* once and €99* a month plus the WrkLst subscription, turns every enquiry into a lead, writes its imprint and privacy policy from your account’s details, and is stored in Germany. In NEXT, AR costs 10 EUR a month, and the ARTBUTLER websites pages do not describe where the website is hosted.
- Invoice bookkeeping tuned to your country and included in every tier — with an embedded e-invoice (ZUGFeRD) and a DATEV export in Germany — and bank and payment gateway reconciliation that marks invoices paid by itself. ARTBUTLER PRO offers e-invoices as a paid option; a DATEV export and a reconciliation are not described on the ARTBUTLER pages.
- Open by design: a direct connection for your developer, a link for AI assistants, a free WordPress plugin, your address book and calendar kept in sync on your phone, and bookkeeping in QuickBooks or Lexware.
- Named servers for your data — Hetzner in Germany and Finland and Infomaniak in Switzerland — where ARTBUTLER’s estates page says “European servers”; and your images, prices and notes never used as training material, by us or by anyone else.
- Sixteen interface languages included, where ARTBUTLER NEXT offers English or German as the interface language and sells content languages as a module — and the WrkLst Specialists to set it up with you.
Every software module and every user included.
WrkLst is priced by the size of your archive, and every tier includes every software module and its users — there is no module for more works, more contacts or more logins. Card payments run through your own Stripe or Shopify Payments account, at no margin to WrkLst. Your data is on named servers in Germany, Finland and Switzerland, the company is independent and based in Berlin, and a complete copy of your database (SQL dump) is yours at the push of a button. Native apps for iPhone, iPad and Android, sixteen interface languages, and AI that turns a PDF or pasted work details into records, optional and switchable for the entire workspace.
How this comparison was made
Every statement about ARTBUTLER on this page, apart from its Capterra listing, was read on artbutler.com and its help sites next-support.artbutler.com and pro-support.artbutler.com on the dates shown in the list of sources, and links to the page it was taken from. Prices are shown as published there, in euros and net; where two pages give different figures, both are quoted. If something has changed, write to info@wrklst.art and we will correct it within a working day.
In the feature table, a check means a feature is described on that product’s published pages, with the plan, condition or scope in the note beneath; a dash means it is not described there, not that it is missing. ARTBUTLER is listed on Capterra without reviews, so this page does not compare ratings.35
