Messages

One email, with the works in it.

Write in WrkLst and send from your own Google Workspace, Microsoft 365, Infomaniak kSuite or IMAP account: the email lands in your Sent folder and on the contact’s record. Search a contact or type an address, start from one of your templates, add your signature, and see the email as it will arrive — or place it in your mail app’s drafts and finish it there.

Add artworks and their captions write themselves — the image with the caption as text, the caption inside the image, or every work in one PDF — with or without prices, credit lines and inventory numbers, in your own order and with further images of each work if you wish. Add a presentation and it follows your text as a designed email; documents travel as download links.

Replies and forwards open in the same editor, carry works too and stay in the same conversation in your recipient’s mail program. A contact’s Correspondence panel searches your mailbox for the mail you exchanged — only for the addresses on the record and only when you ask — and keeps a message on the contact when you choose.

Campaigns

One letter, a personal email to each person.

A campaign writes one letter for many people and sends each copy from your own account to one recipient at a time — with their first and last name where you place them, the artworks, prices and your signature. Before a copy goes, you can still change its works for that one person. It is not a newsletter: every copy is a personal email, kept on the contact’s record, whoever on your team sent it.

Start a campaign from a contact list, the basket, Messages or a show’s suggested people in Opportunities, and put the recipients in the order they are written to. People marked Don’t reach out or unsubscribed from your newsletter are held back and counted. The campaign shows how far it has got and sends to everyone still waiting in one step; with Record as a lead, every recipient becomes a lead with the works.

Invitations

Invitations with replies, and a guest list at the door

Make a campaign an invitation. It goes out from your own mailbox, and each guest answers on a reply page in your gallery’s style — on your own domain, if your presentations use one. Set the itinerary, such as an opening and then a dinner whose address only those attending see, a reply deadline, the number of places with a waiting list, and who may bring a guest — also after the invitation went out.

Start an invitation from New in Messages: describe the event first, and the invitation is prefilled from it — subject, dates, places and the reply deadline — for you to adjust. Place the reply buttons anywhere in the text, or start a new invitation from an earlier one.

Invite each guest through a personal link, or share one open link with a number of places. Answers can be changed until the deadline; once the places are taken, a yes waits on the list until you give a place. The reply page, the confirmation and the reminders speak the language you choose, and come in your gallery’s name, with replies going to whoever runs the campaign.

Those attending receive a confirmation with a calendar entry and a reminder before the event. The guest list shows who is coming, checks people in at the door, walk-ins included, and downloads as CSV; every exhibition lists its campaigns, and each contact lists their invitations — invited, came, didn’t come. Dietary and access needs are asked only if you wish, with the guest’s consent, and deleted 30 days after the event.

The dinner list

From Opportunities to the dinner table.

For every show opening soon, Opportunities lists the people to tell — those who bought, held, asked about, own or looked at the artist’s works. Its dinner list keeps those with an address within 10 to 250 kilometres of the venue, or at any distance, filters them by tier and shows how each one’s earlier invitations went: invited, said yes, came, didn’t come.

Tick up to 50 guests, and the dinner invitation is created ready to finish: a dinner on the opening day at 20:00, its address shown only to those who accept, a place for each person invited and a reminder the day before. After the evening, mark who said yes but did not come; accepting and attending count as interest in the artist for the next show.

It weighs your own records, not an AI model: nothing is sent by itself, and everyone sees only the reasons they are allowed to see.

Consent and care

Personal, and considerate.

Who may receive what is decided by your records, not by chance — and what WrkLst records about your guests and recipients is only what it needs.
  1. CRM

    Don’t reach out

A contact marked Don’t reach out is never on a campaign; a single email goes only once you say why, and the reason is kept.

  2. Integrations

    Newsletter unsubscribes

Someone who unsubscribed from your newsletter in Mailchimp or MailerLite is held back from campaigns, and the campaign counts them.

  3. Leads

    Unverified enquiries

What a visitor typed into an enquiry form stays marked Unverified, and an enquiry is no agreement to newsletters or campaigns.

  4. Email

    Opens, honestly

Tracking is a choice per message. Opens are approximate and marked when possibly automatic, your team’s own reads never count, and invitations carry no tracking pixel.

  5. Security

    Dietary needs

Asked only if you wish and shared only with the guest’s consent, stored encrypted, never added to the contact and deleted 30 days after the event.

  6. Security

    The reply page

Each guest replies on a page with its own privacy notice, protected against automated sign-ups; an address answers an open invitation once.

Your mailbox

Your mailbox, and your newsletter tool.

Every message and campaign goes from your own account and appears in your own Sent folder; WrkLst is not a bulk sender standing between you and your collectors.

For newsletters, keep Mailchimp or MailerLite: WrkLst subscribes and unsubscribes your contacts there, from their records.
